1. Who we are
HaulEx (the "Platform") is an on-demand logistics marketplace operating in Ghana. The Platform is operated by Rithum Systems Ghana Ltd, the data controller responsible for your personal data under the Data Protection Act, 2012 (Act 843). This policy explains how we collect, use, share, and protect your personal data.
2. What data we collect
- Personal details: full name, phone number, email address, Ghana Card number.
- Driver/vehicle data: DVLA licence number and class, vehicle registration, roadworthiness and insurance certificates.
- Location data: real-time GPS location of active truckers while a job is in progress.
- Documents: waybills, licence scans, roadworthiness and insurance documents, vehicle photos.
- Payment information: mobile money provider and number, transaction history.
- Usage data: login times, IP addresses, device information, pages viewed, actions taken.
3. How we use your data
- Matching shippers with truckers for loads.
- Verifying driver credentials and vehicle compliance.
- Processing escrow payments and calculating commission.
- Sending SMS and in-app notifications about jobs, document expiries, and payments.
- Regulatory and tax compliance.
- Platform analytics and improving service quality.
4. Data retention
- Active users: data is retained while your account is active.
- Inactive users: financial and transaction records are retained for 7 years to meet tax and regulatory requirements, then deleted.
- Deleted accounts: personal identifiers (name, phone, email, Ghana Card) are anonymised on request; aggregate records are preserved for legal compliance.
5. Your rights under Act 843
- Right of access: request a copy of the personal data we hold about you.
- Right of correction: request correction of inaccurate data.
- Right of deletion: request erasure of your personal data where legally permitted.
- Right of portability: receive your data in a machine-readable format.
Submit requests through your profile page ("Request My Data" or "Delete My Account") or email privacy@rithumsystems.com. We respond within 30 days.
6. Data sharing
We share data only with:
- Payment processors (Paystack) for escrow and payout processing.
- SMS providers (Arkesel) for notification delivery.
- Webhook subscribers configured by the Platform admin for ERP/TMS integration.
- Law enforcement where legally compelled.
We do not sell your personal data.
