HaulEx (the "Platform") is an on-demand logistics marketplace operating in Ghana. The Platform is operated by Rithum Systems Ghana Ltd, the data controller responsible for your personal data under the Data Protection Act, 2012 (Act 843). This policy explains how we collect, use, share, and protect your personal data.
2. What data we collect
Personal details: full name, phone number and email address; for truckers, also Ghana Card number. We do not collect identity documents from shippers.
Pickup and delivery contacts: the name and phone number of the person a shipper names to meet the trucker at pickup or delivery. Shippers must have that person's permission to share these details.
Driver/vehicle data: DVLA licence number and class, vehicle registration, roadworthiness and insurance certificates.
Location data: real-time GPS location of active truckers while a job is in progress.
Documents and photos: waybills, licence scans, roadworthiness and insurance documents, vehicle photos, and a photo of the driver. Shippers see the driver's photo once a trucker is assigned to their load, so they can recognise who is collecting it.
Payment information: mobile money provider and number, and transaction history. Card details are entered on Paystack's payment page and handled by Paystack; we do not receive or store card numbers.
Verifying driver credentials and vehicle compliance.
Processing payments, refunds and trucker payouts.
Sending SMS and in-app notifications about jobs, document expiries, and payments.
Regulatory and tax compliance.
Platform analytics, improving service quality, and measuring whether our advertising leads to sign-ups and bookings.
We use your data because it is needed to provide the service you signed up for, to meet our legal obligations, or with your consent. We only send marketing messages if you have agreed to receive them, and you can opt out at any time.
4. Data retention
Active users: data is retained while your account is active.
Inactive users: financial and transaction records are retained for 7 years to meet tax and regulatory requirements, then deleted.
Deleted accounts: personal identifiers (name, phone, email and, for truckers, Ghana Card) are anonymised on request; aggregate records are preserved for legal compliance.
5. Your rights under Act 843
Right of access: request a copy of the personal data we hold about you.
Right of correction: request correction of inaccurate data.
Right of deletion: request erasure of your personal data where legally permitted.
Right of portability: receive your data in a machine-readable format.
Submit requests through your profile page ("Request My Data" or "Delete My Account") or email privacy@rithumsystems.com. We respond within 30 days.
6. Data sharing
We share data only with:
Platform and hosting provider (Base44) for application hosting, database storage, backend processing, and platform usage analytics.
Mapping and routing providers (Google Maps Platform) for address lookup, distance and route calculation, and live job tracking.
Advertising measurement (Google Ads) to measure whether our ads lead to sign-ups and bookings. See section 9. The HaulEx iOS app does not use Google Ads.
Payment processors (Paystack) for payment, refund and payout processing.
SMS providers (Arkesel) for notification delivery.
Webhook subscribers configured by the Platform admin for ERP/TMS integration.
Law enforcement where legally compelled.
Some of these providers process data outside Ghana. Where they do, we use providers that apply appropriate safeguards to protect it.
We do not sell your personal data.
7. Security
We protect your data with access controls, encrypted connections and role-based permissions, and we limit access to people who need it. If a security breach affects your personal data, we will notify you and the Data Protection Commission as the law requires.
8. Children
HaulEx is for people aged 18 and over. We do not knowingly collect data from anyone under 18.
9. Cookies and advertising measurement
We use strictly necessary session cookies to keep you logged in. We also use the Google Ads tag, which uses cookies and similar identifiers to tell us when a visit from one of our ads leads to a sign-up or booking. This applies to our website only. The HaulEx iOS app never loads the Google Ads tag. We do not use it to show you ads inside HaulEx. If your device is set to a European time zone, we ask for your consent before loading the tag. Elsewhere it loads when you visit, and you can decline it here at any time. You can also block cookies in your browser settings and manage Google's use of them in your Google ad settings.
